Executive Administrative Assistance
The hours for this position are: Mon - Fri (Negotiable)
Principal Duties & Responsibilities:
Prepare a variety of correspondence on own initiative from drafts or verbal instruction, such as memos, letters, articles, reports, proposals, charts, etc.; prepares and processes routine forms, documents, requisitions, transmittal forms, etc., following standard procedures, and responds to inquiries. Receives, screens, and routes incoming telephone calls; places calls, receives visitors, arranges appointments, and maintains a calendar; coordinates travel arrangements and meetings; prepares agendas and materials for presentations; takes and prepares meeting minutes; distributes incoming mail, faxes, and other communications originals, or faxes
Corrects documents with specified guidelines that are sent out of order, with the incorrect policy information, or incomplete Types and creates letters and reports needed to complete the daily job; responds to customer requests for research via e-mail responses. Verifies documents to determine their proper destination and notes as copies.
Maintains inventory levels of office supplies and initiates purchase orders as necessary; reconciles invoices and maintains current expense records against budgeted dollars; provides administrative assistance to the management team.
Maintains effective and accurate filing systems that provide a quick reference database of records, including but not limited to, and statistical and financial reports that show the departments accomplishments, productivity levels, releases information according to company policies and procedures; audits files at specific intervals to identify and purge outdated or unnecessary items, and ensures confidentiality of records
Provides administrative support related to the operational functions of the department as required
Performs other duties as required
Education & Experience:
High school graduate and two years of administrative support experience
Job Knowledge & Skills
Computer Skills are required, basic working knowledge of Windows Vista (or XP) and Office 2007.

Typing: 40 wpm/85% accuracy
